Can I provide my employees with a subsidy for their private supplemental insurance?

Of course, you can pay such a subsidy yourself—it's just that, for tax purposes, it's treated a little differently than most people expect.

Why the subsidy is considered cash wages

For this to be treated as a benefit in kind, the employer must be the policyholder and pay the premium directly to the insurer. If, instead, the money goes to employees who have taken out their own policies, it constitutes a cash payment—that is, cash wages. The amount is then fully subject to income tax and social security contributions, and the 50-euro exemption limit does not apply.

The fact that the funds are earmarked does not change this. Whether the subsidy is expressly intended for insurance and whether the employee provides proof of its use is irrelevant to the classification.

The mistake cannot be undone

In practice, this is the aspect that costs the most money. Once the system has been set up as a subsidy model, it is no longer possible to retroactively apply the benefit—not even by switching to a different model later on. The review should therefore take place at the very beginning of the implementation process, not during the first payroll run.

The Clean Way

It is provided through a collective agreement: The employer enters into it with the insurer, and employees are insured under it. This not only meets the requirements for a non-cash benefit but also offers the following additional benefits:

  • More favorable group rates through calculations based on the entire workforce
  • Elimination or Reduction of Waiting Times
  • Simplified or waived medical examination, so that even employees with pre-existing conditions can be insured

Adjustment of Existing Grants

Anyone who is already paying subsidies and wishes to switch over should coordinate the timing and handling of existing cases with the payroll department—particularly regarding what will happen to existing individual policies.
